Cancellation Policy for Vigor Mentors
Introduction
Vigor Mentors understands that plans can change, and unforeseen circumstances can arise. Our Cancellation Policy is designed to be fair to both our clients and our operational needs. This policy outlines the terms under which cancellations are handled and any associated fees that may apply.
Cancellation by the Client
- Notification Requirement: Clients wishing to cancel their event must notify Vigor Mentors in writing by sending an email to info@vigormentors.com. The date on which the email is received by Vigor Mentors will be considered the date of cancellation.
- Deposit: All deposits are non-refundable. Deposits are used to secure your event date and cover initial planning and reservation costs.
- More than 30 Days Notice: If the cancellation notice is received more than 30 days before the scheduled event date, the client will be liable for 50% of the total estimated charges, less the already paid non-refundable deposit.
- Less than 30 Days Notice: If cancellation occurs less than 30 days prior to the event date, the client will be liable for 100% of the total estimated charges.
- Customized Materials and Orders: Any costs incurred for materials, services, or products that have been customized or ordered specifically for the client’s event (e.g., printed materials, special orders, etc.) are non-refundable and will be charged in full.
Cancellation by Vigor Mentors
- Force Majeure: In the unlikely event that Vigor Mentors is unable to perform its duties due to circumstances beyond its control, including but not limited to natural disasters, acts of war, government restrictions, or public health emergencies, we will work with the client to reschedule the event at a later date without any additional rescheduling fees.
- Alternative Arrangements: If rescheduling is not possible, Vigor Mentors will refund any payments made by the client, excluding the non-refundable deposit and any non-recoverable expenses already incurred.
Rescheduling
- Flexibility: Vigor Mentors offers the flexibility to reschedule your event based on availability. Rescheduling must be requested in writing and is subject to availability and potential price adjustments.
- Fees: If the event is rescheduled more than 30 days before the original event date, no additional rescheduling fee will be charged, though the client will be responsible for any increased costs or non-recoverable expenses. Rescheduling less than 30 days before the event may incur additional fees.
Acknowledgement and Agreement
By booking an event with Vigor Mentors, the client agrees to this Cancellation Policy. This policy is integral to our Terms and Conditions and is designed to protect both the client and Vigor Mentors.
